Privacy Policy
Effective October 14, 2026
This policy explains what Appeals One, Inc. ("AppealsOne", "we", "us") collects through appealsone.com, how we use it, and the choices you have. Appeals One, Inc. is a Delaware corporation based in Nashville, Tennessee. This policy covers the website only. Work we do for clients is governed by a separate signed agreement and Business Associate Agreement.
Do not submit patient information through this site
This website is not built to receive patient information. Do not submit protected health information (PHI) through any form on this site. That includes patient names, dates of birth, member IDs, claim details, or anything else that identifies a patient. We handle PHI only under a signed Business Associate Agreement as part of a client engagement, and never through the website.
What we collect
Information you give us. Our forms ask for some or all of the following:
- Name and work email address
- Role, organization or practice name, and specialty
- Phone number, if you choose to give it
- The payer that gives you the most prior authorization trouble, if you choose to tell us
- The message you write to us
With each form submission we also record the page you submitted from, the time of submission, and, for the waitlist, the campaign source in the link you followed (for example, a link tagged as coming from our homepage).
Basic technical data. Like most websites, our hosting provider automatically receives your IP address, browser and device type, the pages you request, and the time of each request. This is used to deliver and secure the site.
Bot protection. Our forms use hCaptcha to tell people from automated spam. When you open or start filling in a form, hCaptcha loads and may collect your IP address, browser and device characteristics, and how you interact with the challenge. hCaptcha also sets a small number of cookies, listed on our Cookies page.
We do not use analytics, advertising, or tracking tools on this site, and we do not set our own cookies.
How we use it
- To respond to your inquiry, pilot request, report request, or support request
- To manage the waitlist for our free prior auth checker and tell you when it opens
- To send product updates you asked for, such as the monthly note on payer prior auth list changes for waitlist members
- To keep the site and its forms secure and free of spam
You can unsubscribe from any email we send by replying to it or writing to privacy@appealsone.com.
Who processes it
We use a small number of service providers to run the site. Each one handles information only to provide its service to us.
- Vercel hosts the website and receives the technical data described above.
- Web3Forms receives each form submission and delivers it to our email.
- hCaptcha provides bot protection on our forms.
- Google Workspace hosts our email, where form submissions and your messages are stored.
We do not sell personal information, and we do not share it for advertising. We may disclose information if the law requires it, to protect our rights or the safety of others, or as part of a merger or sale of the business, in which case this policy continues to apply.
How long we keep it
We keep inquiry and waitlist information for as long as we need it to respond to you, run the waitlist, or maintain our business relationship, and then delete it. If you ask us to delete your information, we will do so unless we must keep it to meet a legal obligation.
Access, correction, and deletion
You can ask us what information we hold about you, ask us to correct it, or ask us to delete it. Email privacy@appealsone.com from the address you used with us. We may need to confirm your identity before acting on a request, and we will respond within a reasonable time.
Your state privacy rights
Depending on where you live, state law may give you rights over your personal information, including the right to know what we collect, to get a copy, to correct it, and to have it deleted. We honor these requests for anyone who asks, wherever they live. We will not treat you differently for making a request. You can make a request by emailing privacy@appealsone.com, and you can have an authorized agent make one on your behalf.
Security
Information sent through our forms travels over an encrypted connection. Read more about how we protect client data on our Security page.
Children
This site is for healthcare businesses and is not directed to anyone under 18. We do not knowingly collect information from anyone under 18. If you believe a minor has sent us information, contact us and we will delete it.
Changes to this policy
We may update this policy. When we do, we will change the effective date at the top of this page. If a change is significant, we will take reasonable steps to let affected people know.
